Collaboration Software Statistics 2026
This page collects current figures on the tools teams use to talk and work together: Microsoft 365 and Teams, Google Workspace, Zoom, Slack, Notion, Atlassian, Asana, monday.com, Dropbox and Box. It covers how widely businesses adopt these tools, how the main vendors are growing, how many messages, emails and meetings land on a typical worker, and what surveys say about the overhead and the shift to AI. Most figures describe 2025 and 2026 and come from company filings, Microsoft 365 telemetry, Okta customer data, Eurostat and vendor surveys. Each figure links to the page with the sentence it comes from.

Research overview
What the numbers say
Collaboration software is close to universal in office work. Eurostat found that 85.15% of EU enterprises buying cloud services use cloud e-mail and 71.69% use cloud office software, and Okta reports that security and collaboration apps now make up 60% of what its customers deploy. Companies rarely pick just one suite: 48% of Okta's Microsoft 365 customers also run Google Workspace, and the average Okta customer used 101 apps in 2024.
The market leaders are growing mainly by selling more to existing users. Microsoft 365 Commercial cloud revenue grew 17% in fiscal 2026 while seats grew only 6%, with Copilot and E5 upgrades lifting revenue per user. Zoom's revenue grew 4.9% in its latest quarter, but its Enterprise business grew 7.8% and the number of customers paying over $100,000 a year rose to 4,625. Among smaller vendors, Atlassian (26%) and monday.com (27%) grew far faster than Asana (9%), and Dropbox's paying users were flat at 18.08 million.
The cost of all this tooling shows up in attention. Microsoft's telemetry shows the average user receives 153 Teams messages and 117 emails a day, the most active users are pinged every two minutes, and 57% of meetings are unscheduled calls. Atlassian's survey found teams spend 25% of their time searching for answers, and Asana's index puts work about work at 60% of the day, with workers switching between nine apps.
AI is now the main pitch from every vendor on this page. Slack's Workforce Index found daily AI use among desk workers rose 233% in six months to mid-2025, Google reported 50 million people using AI meeting notes in Meet in a single month, and Microsoft credits Copilot for its revenue per user growth. Most usage data here come from companies that sell these products, and filings report revenue and customers rather than active users, so the figures show direction and scale more than exact market shares.

What these figures suggest
Collaboration and office tools are now the default way businesses buy cloud software. Eurostat found 52.74% of EU enterprises paid for cloud services in 2025, and 85.15% of those used cloud e-mail while 71.69% used cloud office software. Okta's customer data show the same pattern from the identity side: 60% of the apps its customers deploy are security or collaboration apps, and 48% of its Microsoft 365 customers also run Google Workspace. Okta's figures describe its own customer base, which leans toward larger and more cloud-forward companies, so they are not a census of all businesses.

What these figures suggest
Microsoft does not report Teams users in its filings; it reports Microsoft 365 Commercial, the bundle that includes Teams, Exchange and SharePoint. That business grew revenue 16% in fiscal 2026 while paid seats grew 6%, which means most growth now comes from charging more per user, through Microsoft 365 Copilot and E5 upgrades, rather than from new seats. Alphabet does not break out Google Workspace revenue either, so the most concrete Google data points are usage figures from its earnings calls, such as 50 million people using AI meeting notes in Google Meet in one month.

What these figures suggest
Zoom has settled into slow overall growth with a shifting customer mix. Revenue grew 4.9% in the quarter ending July 2026, but Enterprise revenue grew 7.8% and now makes up about 60% of the total, while the self-serve Online business still loses about 2.9% of its recurring revenue each month. The count of customers paying more than $100,000 a year keeps rising, which suggests large organizations are consolidating meetings, phone and contact center spending on the platform.

Atlassian grew revenue 26% in its fiscal 2026 and monday.com 27% in 2025, while Asana grew 9% and Dropbox's paying user base slipped slightly. Customer counts are large but defined differently: Atlassian counts customers, monday.com counts paying web domains, Box counts paying organizations and Dropbox counts paying users, so the totals cannot be compared directly.

What these figures suggest
Microsoft 365 telemetry gives the most detailed picture of how much messaging a typical worker handles. The average user receives 117 emails and 153 Teams messages a day, and the heaviest users are pinged every two minutes during core hours. More than half of meetings are unscheduled calls, and work now spills well past the traditional day, with an average of 58 chats arriving outside 9 to 5. These figures cover Microsoft 365 business tenants outside the EU and education, and several averages describe the most active fifth of users, so a typical worker in a smaller firm may see less.

What these figures suggest
Survey data from collaboration vendors point to coordination overhead as the main cost of the current tool stack. Asana's Anatomy of Work Index puts the share of time spent on work about work at 60%, with workers switching between nine apps a day. AI features are the vendors' answer, and Slack's Workforce Index shows adoption rising quickly: 60% of desk workers used AI in mid-2025 and daily use grew 233% in six months. Both Asana and Slack sell the products they study, and Asana's figures come from its 2023 index, so treat these as directional.
About these figures
Figures come from four kinds of sources: company filings and earnings releases (Microsoft, Alphabet, Zoom, Atlassian, Asana, monday.com, Dropbox, Box), product telemetry and customer data (Microsoft 365 signals in the Work Trend Index, Okta Businesses at Work), official statistics (Eurostat), and vendor surveys (Asana Anatomy of Work, Atlassian State of Teams, Slack Workforce Index). Every quote was checked against the publisher's page. Filings report revenue and customer counts, not active users, and each company defines customers differently. Telemetry covers only that vendor's own users. Gartner and IDC market sizing is not included because their releases could not be checked against a publicly accessible page. Survey figures come from vendors that sell collaboration software, so compare direction rather than exact levels.
Every figure was taken from the publisher's own page, together with the sentence it appears in, and that sentence is re-checked against the source before each update. Where a survey covers a specific group, the figure says so. Read the methodology. Spotted a problem? Email editorial@mojolin.com.
