Mojolin is self-funded How we score

Zoom Workplace is our top pick: guests know how to join, the free plan covers 40-minute calls, and Workplace Pro adds 30-hour meetings and unlimited AI note-taking. Microsoft Teams is the best value at $4 per user per month paid yearly for Teams Essentials, and it is the default if you already pay for Microsoft 365. Google Meet is the easiest for guests and the natural pick for Google Workspace companies.

    Zoom Workplace

A meetings-first work platform that bundles video calls, chat, AI notes, whiteboards and scheduling.

    zoom.com

    8.9

    out of 10

Best for: Distributed teams that want one default meeting link for colleagues and clients, with AI notes included.

Zoom Workplace is still the safest default for a team that meets across companies. The free Basic plan allows meetings of up to 40 minutes with 100 participants, plus chat, a shared calendar and basic whiteboards, so anyone outside your company can join without friction. Workplace Pro, sold for 1 to 99 users, removes the practical limits for most teams: meetings run up to 30 hours, AI note-taking is unlimited, each user gets 10 GB of cloud storage, and end-to-end encryption is available. Workplace Business, for up to 250 users, raises meetings to 300 participants and adds unlimited whiteboards and the Scheduler.

Zoom's AI features, including My Notes, summaries and next steps, are part of paid plans rather than a separate add-on, and captions can be translated for multilingual teams. The trade-offs are the 40-minute cap on free meetings and a 100-person limit on Pro. Our location returned non-USD prices, so we list the price as pending.

    Standout feature

Unlimited AI note-taking and 30-hour meetings are included in Workplace Pro.

    Use cases

    • Agencies

Run weekly client calls from one meeting link

Outcome: Clients join without setup help

    • Remote product teams

      Record standups with AI notes

Outcome: Absent teammates catch up in minutes

    • Global teams

Use translated captions on all-hands calls

      Outcome: Non-native speakers follow along

    Key features

    • Basic plan: meetings up to 40 minutes with 100 participants
    • Pro: meetings up to 30 hours, unlimited AI note-taking and 10 GB cloud storage
    • Business: 300 participants per meeting and unlimited whiteboards
    • Multi-language captions and translations
    • Continuous meeting chat before, during and after calls

    Pros

    • Zoom AI summaries and My Notes included at no extra cost on paid plans
    • Clients and partners usually already know how to join
    • End-to-end encryption available from the Pro plan

    Cons

    • Free meetings stop at 40 minutes
    • Pro caps meetings at 100 participants
    • USD prices did not load from our location, so check the pricing page

    Microsoft Teams

Microsoft's chat, calling and meeting app, sold alone as Teams Essentials or inside Microsoft 365 business plans.

    microsoft.com

    8.8

    out of 10

Best for: Companies that run on Microsoft 365, or small teams that want cheap meetings with long time limits.

Microsoft Teams gives the most meeting capacity for the money. Teams Essentials costs $4 per user per month paid yearly and lets you meet for up to 30 hours with up to 300 participants, with recordings, transcripts, live captions in English and 10 GB of cloud storage per user. Chat, file sharing, tasks and polls sit in the same app, so a distributed team can run its daily work and its meetings from one place.

The bigger reason to choose Teams is Microsoft 365. Business Basic at $7 per user adds web and mobile Office apps and business email, and Business Standard with Copilot at $23.50 adds desktop apps and Copilot. If your company already lives in Outlook and SharePoint, Teams is the obvious default. If it does not, the app carries more than a meeting tool needs, and Zoom or Google Meet may feel simpler. Phone calling is a separate Teams Phone Standard license at $10 per user per month.

    Standout feature

Teams Essentials allows 30-hour meetings with 300 participants for $4 per user per month paid yearly.

    Use cases

    • Microsoft 365 companies

Meet, chat and share files in one app

      Outcome: Fewer tools to manage

    • Small businesses

      Host long client workshops

      Outcome: No 40-minute cutoffs

    • Hybrid teams

      Record meetings with transcripts

      Outcome: Searchable meeting history

    Key features

    • Meetings up to 30 hours with up to 300 participants on Teams Essentials
    • Meeting recordings with transcripts and live captions in English
    • 10 GB of cloud storage per user on Teams Essentials
    • Data encryption for meetings, chats, calls and files
    • Teams Phone Standard calling add-on at $10 per user per month

    Pros

    • Lowest paid entry price on this list at $4 per user
    • Chat, files and meetings live in the same app
    • Microsoft 365 plans add Outlook, Excel, PowerPoint and Exchange calendars

    Cons

    • Prices are for annual subscriptions
    • Calendar integration with Exchange needs a Microsoft 365 plan
    • Busier interface than meeting-only tools
  3. Rank 3 · Also great

    Google Meet

Google's browser-first video meeting app, free with a Google Account and included in Google Workspace plans.

    google.com

    8.7

    out of 10

Best for: Teams on Google Workspace that want the simplest browser-based meetings with Gemini notes.

Google Meet is the easiest tool here for people who just need to click a link and talk. Anyone with a Google Account can host meetings of up to 100 participants for up to 60 minutes at no cost, and one-to-one calls have no time limit. Inside Google Workspace, Meet grows with the plan: Business Starter supports 100 participants, Business Standard adds recording, noise cancellation and 150 participants, Business Plus adds attendance tracking and 500 participants, and Enterprise reaches 1,000 participants with in-domain live streaming.

Gemini in Meet can take notes, summarize and translate, which helps teams that span time zones. Meet is less flexible than Zoom for webinars or complex host controls, and recording is not on the entry plan. Workspace prices loaded in Polish zloty from our location, so we list the price as pending; Business plans can be bought for up to 300 users.

    Standout feature

Free group meetings of 60 minutes for 100 people, and the paid version comes bundled with Google Workspace.

    Use cases

    • Google Workspace teams

      Start meetings from Calendar invites

      Outcome: Fewer scheduling steps

    • Consultants

Meet clients in a browser tab

      Outcome: No installs for guests

    • Distributed teams

Use Gemini notes on recurring syncs

      Outcome: Shared written recaps

    Key features

    • Free meetings for up to 100 participants and 60 minutes; no limit on one-to-one calls
    • Workspace Business Standard: recording, noise cancellation and 150 participants
    • Business Plus: attendance tracking and 500 participants
    • Gemini in Meet summarizes, translates and takes notes
    • Live captions and audio syncing for teammates in the same room

    Pros

    • Joins straight from a browser link
    • Tight fit with Gmail, Calendar and Drive
    • Large meetings up to 1,000 participants on Enterprise

    Cons

    • Recording needs Business Standard or higher
    • Business Starter meetings cap at 100 participants
    • No-cost guests must sign in or be admitted by the organizer
  4. Rank 4

    Webex

Cisco's meeting, calling and webinar suite with a free plan, an AI Assistant and its own room hardware.

    webex.com

    8.3

    out of 10

Best for: Larger or regulated organizations that need enterprise security and Cisco meeting room devices.

Webex is the enterprise choice when security reviews and room hardware matter as much as the meeting app. The free plan is usable for small teams: unlimited meetings of up to 40 minutes with 100 attendees, screen sharing with annotation, unlimited whiteboards, local recording, calendar integration and advanced noise cancellation, with no credit card required. Webex Enterprise adds up to 1,000 attendees, local and unlimited cloud recording, FedRAMP authorized security and the AI Assistant, and some Enterprise plans include Webex Events.

Cisco also sells room kits, desk devices, ceiling microphones and headsets that work with Webex, which helps companies equipping offices for hybrid meetings. Guests can join from a browser in most cases. For a small distributed team, Webex has more settings than it needs, and the mid-tier paid plans were not shown from our location, so we list the price as pending.

    Standout feature

Free meetings with advanced noise cancellation, plus an Enterprise tier with FedRAMP authorized security.

    Use cases

    • Public sector teams

Run meetings that pass security review

      Outcome: FedRAMP authorized meetings

    • Hybrid offices

      Equip rooms with Cisco devices

Outcome: One system for rooms and remote staff

    • Small teams

Hold short calls on the free plan

Outcome: No cost for 40-minute meetings

    Key features

    • Free plan: unlimited meetings up to 40 minutes with 100 attendees
    • Advanced noise cancellation and unlimited whiteboards on the free plan
    • Enterprise: up to 1,000 attendees and unlimited cloud recording
    • AI Assistant included on Enterprise
    • FedRAMP authorized security on Enterprise

    Pros

    • Free plan with no credit card
    • Wide range of Cisco room devices, cameras and headsets
    • Webinars, events and calling from the same vendor

    Cons

    • Only the free plan and Enterprise were shown from our location
    • Free meetings stop at 40 minutes
    • More admin settings than smaller teams need
  5. Rank 5

    RingCentral

RingEX bundles business phone, team messaging and RingCentral Video meetings in one app.

    ringcentral.com

    8.2

    out of 10

Best for: Teams that want phone numbers, messaging and video meetings from one vendor.

RingCentral makes sense when your team needs business phone numbers as well as meetings. RingCentral Video is included in RingEX, which starts with Core at $20 per user per month paid annually, or $30 monthly. Core includes unlimited domestic calling, 25 SMS per user per month, the AI Virtual Assistant and HD meetings for up to 300 participants. Companies can also add free or paid meetings-only users for staff who do not need a phone line.

The meeting app covers what distributed teams use daily: breakout rooms, whiteboards, annotations, team huddles that work like an always-open room, recording sharing with permissions, and end-to-end encryption that hosts can switch on when needed. Guests join from a browser without installing anything. The weak point is value if you only want video: Core's price is mostly for the phone system, and webinars arrive on Ultra at $35. RingCentral's meetings are GDPR, HIPAA and HITRUST certified.

    Standout feature

Calls, texts and 300-person video meetings come in one $20 per user plan.

    Use cases

    • Sales teams

Escalate a phone call to a screen share

Outcome: Faster demos from a call

    • Healthcare practices

      Hold HIPAA-certified video visits

      Outcome: Compliant remote meetings

    • Remote support teams

Use huddles as a drop-in room

      Outcome: Quick help without scheduling

    Key features

    • HD meetings with up to 300 participants on RingEX Core
    • Breakout rooms, whiteboarding and annotations
    • Dynamic end-to-end encryption you can switch on per meeting
    • Call to collaboration: turn a phone call into a video screen share
    • Browser join with no download, even on the free plan

    Pros

    • Phone system, chat and meetings in one app
    • Free meetings users can be added to a RingEX account
    • GDPR, HIPAA and HITRUST certified meetings

    Cons

    • Paying only for meetings makes less sense than buying a meeting-only tool
    • Monthly billing raises Core to $30
    • RingCentral Webinar is included only on Ultra
  6. Rank 6

    Whereby

A browser-based meeting tool built around permanent room links that guests open without downloads.

    whereby.com

    8.1

    out of 10

Best for: Freelancers, consultants and small teams that host clients in a branded room.

Whereby is the simplest way to give clients a meeting room that always lives at the same address. Each host gets permanent room URLs, and guests open them in a browser without installing an app or creating an account. The free plan is a taster: one room, four attendees and meetings up to 30 minutes. Pro costs $10.99 per month for one host, with three rooms, 100 attendees, no time limit, custom branding and unlimited recording. Business costs $13.99 per host per month with a three-host minimum and adds unlimited rooms, 200 attendees, shared and flex rooms and a custom subdomain.

All paid plans include breakout groups, noise reduction, background effects, file sharing and a custom waiting room. Whereby does less than Zoom or Teams: there is no built-in chat workspace, phone system or webinar product in the meetings plans. Prices are in USD and exclude VAT, and annual billing saves 17%.

    Standout feature

Permanent, branded room links that guests open in a browser without an account.

    Use cases

    • Coaches and consultants

Host clients at a fixed branded link

Outcome: Clients always know where to go

    • Small agencies

Give each account manager a room

      Outcome: Consistent client experience

    • Remote teams

      Run a shared drop-in room

      Outcome: Fewer scheduled calls

    Key features

    • Permanent room URLs: 1 on Free, 3 on Pro, unlimited on Business
    • Up to 100 attendees on Pro and 200 on Business
    • Custom branding and unlimited recording from Pro
    • Breakout groups, noise reduction and background effects
    • Shared rooms, flex rooms and a custom subdomain on Business

    Pros

    • Guests join from a browser with no account
    • Branded rooms look professional for client calls
    • Annual billing saves 17%

    Cons

    • Free plan allows only 4 attendees and 30-minute meetings
    • Fewer AI and webinar features than the large suites
    • Business requires at least 3 hosts
  7. Rank 7

    Zoho Meeting

Zoho's online meeting and webinar app with participant-based plans and a free tier.

    zoho.com

    8.0

    out of 10

Best for: Small businesses on Zoho apps that want meetings priced by participant count.

Zoho Meeting suits small businesses that want a plain meeting tool and like paying for exactly the meeting size they use. The free plan supports up to 100 participants for up to 60 minutes, with screen sharing, a whiteboard, chat and basic reports. Paid Standard and Professional plans are priced by participant count, from 10 up to 250, with monthly or yearly billing and volume discounts. Standard adds 5 GB of cloud recording per host, meetings up to 24 hours, dial-in by phone, polls, remote control and co-branding.

Professional adds a custom domain, breakout rooms, an embeddable meeting widget, API access, recording transcripts and meeting keynotes. It sits in the same suite as Zoho CRM and other Zoho apps, and a 14-day trial needs no credit card. It has fewer AI features than Zoom, Meet or Teams, and premium support costs extra. Prices did not load in USD from our location, so we list them as pending.

    Standout feature

Plans are sized by participant count, so small teams do not pay for capacity they never use.

    Use cases

    • Zoho CRM users

Run sales demos from the same ecosystem

Outcome: Meetings next to customer records

    • Small teams

Hold hour-long syncs on the free plan

Outcome: No cost for team check-ins

    • Training teams

      Split classes into breakout rooms

      Outcome: Smaller group exercises

    • Toll-free numbers for 55+ countries as an add-on

    Pros

    • Pay only for the meeting size you need

    • Co-branding, polls and remote control on Standard

    Cons

    • Breakout rooms and API access need Professional
    • Premium support costs 20% of the license fee
    • USD prices did not load from our location

    Dialpad Meetings

Dialpad's video meeting app with live AI transcription, included in Dialpad Connect business phone plans.

    dialpad.com

    7.9

    out of 10

Best for: Teams that want AI transcripts and recaps on every meeting and may add business calling later.

Dialpad Meetings is built around AI notes. Every meeting gets real-time transcription that shows what was said and by whom, and after the call participants receive an email recap with the transcript, recording and action items. Meetings open from a browser or the app with one click and no PINs, include screen sharing, whiteboarding and file sharing, and offer international dial-in for more than 50 countries. Host controls cover meeting lock, mute and guest removal, plus a five-minute timer alert.

You can sign up for free, and paid meetings come with Dialpad Connect, which starts at $15 per user per month on Standard with unlimited calls, AI-powered meetings and messaging. Pro at $25 adds CRM integrations and 24/7 support. A Large Meetings add-on raises the limit to 1,500 participants. Dialpad has fewer collaboration extras than Zoom or Teams, but teams that care most about written recaps will like it.

    Standout feature

Live transcription and automatic recaps with action items come with every meeting.

    Use cases

    • Sales teams

      Record client calls with transcripts

      Outcome: Notes logged without typing

    • Distributed teams

Send recaps to people who missed a call

      Outcome: Everyone sees action items

    • International teams

Let guests dial in by phone

      Outcome: Access from 50+ countries

    Key features

    • Live AI transcription during every meeting
    • Automatic email recap with transcript, recording and action items
    • Browser join with no downloads or PINs
    • International dial-in for 50+ countries
    • Large Meetings add-on for up to 1,500 participants

    Pros

    • AI notes are part of the product, not an add-on
    • Schedules from Microsoft 365 or Google Calendar and logs to Salesforce
    • Grows into a full phone system on Dialpad Connect

    Cons

    • Large meetings need an add-on
    • Fewer collaboration extras than Zoom or Teams
    • 24/7 support and key CRM integrations sit on the $25 Pro plan
  9. Rank 9

    Jitsi Meet

A free, open source video meeting app you can use on meet.jit.si or run on your own server.

    jitsi.org

    7.8

    out of 10

Best for: Technical teams and budget-conscious groups that want free meetings or self-hosting.

Jitsi Meet is the free option for teams that want video calls without accounts or licenses. The public service at meet.jit.si lets anyone start a meeting from a custom URL, share a screen or presentation, chat and send emoji during the call, and edit documents together through Etherpad. Meetings are encrypted by default, audio uses the Opus codec, and no one needs to sign up.

Because Jitsi Meet is fully open source, technical teams can download it, modify it and run it on their own servers, which keeps meeting data in their own environment. That freedom is also the trade-off: the free service has no admin console, AI notes or support contract, and running your own instance takes time from someone who knows servers. For occasional internal calls or a privacy-minded team with engineering help, it is hard to argue with the price. For daily client meetings, a paid tool is easier to support.

    Standout feature

Fully open source and free, with no account needed for anyone.

    Use cases

    • Open source projects

Hold community calls with a public link

      Outcome: No accounts for contributors

    • Privacy-minded teams

Self-host meetings on their own servers

      Outcome: Data stays in-house

    • Small nonprofits

Run internal meetings at no cost

      Outcome: No license spend

    Key features

    • Free meetings with no account needed
    • Encryption by default, with advanced security settings
    • Screen and presentation sharing
    • Custom meeting URLs and integrated chat
    • Self-hosting and customization from the open source code

    Pros

    • Costs nothing on the public service
    • Can run on your own servers for data control
    • No sign-up for hosts or guests

    Cons

    • No vendor support plan on the free service
    • Fewer AI and admin features than paid tools
    • Self-hosting needs technical skills

Buying guide

How to choose

Start with the suite you already pay for

Microsoft 365 plans include Teams and Google Workspace plans include Meet. If your email and calendar already live in one of them, its meeting app is usually the cheapest default, and you only add a second tool if clients struggle to join.

Check free plan time limits

Free plans are fine for short internal calls but cut off longer meetings. Zoom and Webex stop free meetings at 40 minutes, Google Meet and Zoho Meeting at 60 minutes for group calls, and Whereby's free plan allows 30 minutes with four attendees.

Match the participant cap to your largest meeting

Most paid entry plans cover 100 to 300 people: Zoom Pro allows 100, Teams Essentials and RingCentral Core 300. All-hands calls above that need higher tiers such as Google Workspace Enterprise or Webex Enterprise at 1,000, or an add-on like Dialpad's Large Meetings.

Decide how much AI note-taking you need

Zoom Workplace Pro includes unlimited AI note-taking, Dialpad transcribes every meeting live, and Google Meet offers Gemini notes on Workspace plans. If you need more than summaries, see our list of AI meeting assistants.

Make client calls easy to join

For client meetings, browser join matters more than features. Whereby and Google Meet open in a browser tab, and Zoom, RingCentral and Dialpad also support browser join. Permanent room links, like Whereby's, save clients from hunting for a new link each week.

Frequently asked questions

+What is the best video conferencing software for remote teams?

+Do clients need an account to join a meeting?
